Who Is Sitting at Your AV & Technology Planning Table?

Plan Your Business’s Technology Needs with Each Department in Mind

When adding technology to your business’s infrastructure, the first people you consult are IT. That’s a given. You need the IT team’s input as the company’s network bandwidth has critical requirements, and quality of service is paramount with networked equipment falling in their laps.

But how does the planning of technology affect other departments?

In this article, we’ll look at how multiple departments in your business may have different technological needs. And if you’re looking for commercial AV solutions in the Fort Worth or Dallas, TX area, Texadia Systems is your local AV technology company. Contact us here to learn more about our services!

Executive Admins

Executives must ensure that every board meeting and daily appointment goes off without a hitch. They need their conference rooms to work all the time without fail. And they know how your company’s executives will use the space.

Ask your executive admin team: Will they use video or audio conferencing? What kind of content will they be sharing? How often will people attend virtual calls, and with how many people? These are all important questions to ask the gatekeepers of your executive team.

HR

HR collaborates and shares information in its own ways. For example, they know what type of candidate they are trying to attract and what technology will entice potential newcomers. Getting the HR department’s feedback is important because the technology needed will affect employee break areas, town hall meetings, office spaces, and digital signage to feature company updates.

If open concept areas aren’t planned for properly, HR may receive complaints of higher noise levels. This could lead to discussions about sound masking and expectations around open concept and cubicle environments.

Marketing

The creative geniuses of the company need to have input as well. They want to ensure the lobby sends the company messages in an aesthetically pleasing way. Company culture should be timely expressed throughout the organization – not to mention how internal and external clients receive marketing messages.

AV is an extremely vibrant and creative way to communicate and collaborate. It’s not just clunky equipment in a rack. It sends a message. Let marketing help you plan your digital signage and video wall experiences. Their input will add the “wow” factor to showing off the company through technology.

Training

Training can lead to a collaboration overload of touch screens, content sharing, recording classes, virtual training environments, webinars, interactive events—and the list goes on. Anyone training will tell you success comes with keeping the training participants active while avoiding death by PowerPoint.

How can you create an educational environment that makes an impact? Be sure to ask your training department a lot of questions. What they do affects the bottom-line of the company.

Employees Using the Facilities

Employees want easy-to-use and quick ways to meet. They need to be able to enter a huddle or conference room and use it without requiring a three-page operation guide. They need BYOD (Bring Your Own Device) collaborative spaces.

Ask a few of your employees what they want out of a meeting space and what they plan on using it for. You might find you save money in this area.

Special Project Groups

Last but not least, if you have a special projects group, invite one of the team members to the planning meeting. They will use meeting spaces for collaboration solutions, video/audio conferences, and likely mirror the uses of all the teams listed above. You won’t know the group’s needs until you ask.

Finding AV & Technology Needs for Your Business

Bringing teams together does not always mean everyone will get everything they ask for. But you will have the opportunity to understand what they need, what they want, and most importantly, make the departments feel like they had a say in the planning.

As a design/build AV integrator, we work with each department and create a needs analysis. Not all departments are created equal. Our favorite part of the process is listening to the needs of end-users and creating an environment that can be shared across all teams of the organization.
