Hybrid Video Conferencing: Ensure Everyone’s Heard Loud & Clear

Four people seated at a conference room while video calling with people on a display.

Design Your Conference Room with Better Audio in Mind

Aren’t hybrid meetings incredible? Some teams meet from the office while other participants are located elsewhere, and we can all still see and hear each other with tools like Zoom and Teams.

If only it were that simple. In reality, many businesses need help to overcome technical difficulties with hybrid meetings. One major challenge is audio. Remote participants often cannot hear what people in the conference room are saying since the only microphone is at the front of the room. Likewise, in the conference room, the only speakers are below the display, making staff strain to hear and pay attention.

Hybrid meetings in the conference room aren’t meant to be treated the same way as using a laptop. Instead, businesses need the proper conference room AV to create a successful collaboration experience. Here’s how we can build systems that help your McKinney, TX, business succeed.

Microphone Essentials

Microphones ideally need to be as close to each speaker as possible. The best solution is to install tabletop microphones for each person. This is not always possible and can be tricky to install, and it may cause the microphones to pick up other noises on the table.

Tabletop microphone devices, like Logitech’s new 360-degree camera and microphone, can capture more voices down the table. Ceiling microphones are another option, mounted just above the table. In rooms with high ceilings, the microphone can be suspended, so it’s closer to the people speaking.

Those Tricky Acoustics

Another common issue in video conferencing is the inevitable echo some meeting rooms cause. If your boardroom has people’s voices bouncing off the walls, we can install acoustic treatments and arrange the system to eliminate echo, so conversations are heard more clearly.

Distribute Audio

It’s just as important to ensure in-person staff can hear the video call too. If the only speakers connected to the main display are at the head of the table, people may feel less engaged or miss something.

We recommend installing in-ceiling or wall-mounted speakers that share audio across the room. This is especially beneficial in large meeting rooms or auditoriums. That way, people can’t tune out the conversation happening over speakers and will feel more likely to participate.

Integrating AV into the Call

Whether your company uses Zoom, Microsoft Teams, Google Meet, RingCentral, or a combination of video conferencing platforms, we can integrate all speakers, microphones, and cameras to connect to the system. You’ll press “Join Call” and instantly become connected to high-quality audio.

If your business, university, or organization is looking for conference room solutions like these, Texadia Systems is your destination. Contact our team of AV professionals here to discuss your project today.
