Boardrooms to Huddle Spaces: Conference AV for Every Space

A modern conference room with a video display.

Tailoring AV Solutions for Any-Size Meeting Space

Video conferencing is already an integral part of how we conduct business. With more employees and clients working hybrid schedules, it’s an expectation that every company can efficiently and quickly join video calls to collaborate.

But we’re still seeing a lot of companies lagging behind in the video conferencing department. Some businesses have video conferencing systems set up, but people aren’t using them. Why not? Could it be that the setup in place doesn’t actually work for the space?

Video conferencing in person can be a challenge; getting everyone in-frame with clear audio is not an easy feat. However, a custom integrator like Texadia Systems can help your business implement video conferencing solutions to succeed. We install and program conference room audio-video systems tailored to your space and needs.

Let’s examine how different-sized conference rooms call for different AV solutions. And if you’re ready to get started? Contact Texadia Systems to discuss your project today.

Conference Room Solutions for Every Space

A meeting room's hardware requirements depend on its size and the number of people using it.

Huddle Rooms

In smaller spaces like huddle rooms, where around five people meet, you may only need one tabletop or overhead microphone to pick up conversations. A single audio soundbar could suffice in a small space, along with one or two video screens to display the call and other relevant content. While one camera may be enough, we recommend adding a second smart camera to isolate each person into their own forward-facing video square.

Medium-Sized Rooms

In a medium space, you’ll likely have a bigger table with people sitting further away from the screen. If possible, we advise using a curved table that faces the cameras and displays. Either way, you may want two or three tabletop or ceiling-suspended microphones to capture everyone’s voice and will benefit from a larger video display.

Large Conference Rooms

For spacious conference rooms and auditoriums, we’d opt for in-wall or in-ceiling speakers to distribute the call’s audio to every seat in the house. We recommend installing multiple beam-tracking microphones on tables or suspending them from the ceiling to ensure optimal voice capture. You want people’s mouths to be as close as possible to microphones to record their voices clearly.

And by incorporating a network of intelligent cameras, you can track the speaker and display their face on the video call. This feature greatly enhances remote participants' understanding of who they should concentrate on. Additionally, installing multiple displays or a video wall gives all attendees a clear view of the video conference and virtual whiteboard.

Standardizing Control Interfaces

Although some conference rooms may need different hardware, like an extra camera or motorized shades to block computer screen glare, you can reduce confusion at the start of calls by implementing the same control system interface across your business.

From the huddle room to the boardroom, all touchscreens and control panels can display the same familiar icons and buttons. With a few taps on the screen, you can start calls with all necessary devices connected. Anyone can initiate a call with little confusion on how to make it all work.
